Rose-Mary is “all-in” with Solana.  We use TimeTracking to capture billing (services provided) and payroll.  I like it because staff are most likely to be sure their pay is correct, reflecting all hours worked, and it ensures that time worked and paid matches time billed.  We make ICF locations track services just like waiver since there is often cross-over of DSPs. That way they always clock in the same way regardless of where they work.  For supervisors it makes it easy to see ratios in the homes as well as catch staff who stay beyond their shift unnecessarily.   The export is in excel format and easily manipulated by managers/directors to review time and billing information before sending it to Solana for billing processing.

 

All exported data is processed through billing.  The software knows which sites are ICF and which are waiver, so only waiver services are prepared for billing.  All data is then pushed to the payroll module for payroll processing.  We have a payroll contact at Solana who assists in processing payroll, producing EFT files and remitting payroll taxes.  We do review information and are ultimately responsible for its accuracy.  Both billing and payroll are integrated with the GL, which is very nice, and significantly reduces time.  We do pay Solana for billing and payroll assistance, but it could be fully in house if you so choose. 

 

Solana is working on an EVV solution that will be connected to TImeTracking, although we have not yet seen it.  We have 10 ICF homes and 7 waiver sites that provide 24/7 services and around 270 employees, to give you some perspective.  Hope this helps.
