Good morning all and Happy New Year.

Living Opportunities, Inc and Walden Residential (both ICFs) have a policy in place for staff meals.
Breakfast and Lunch we provide the staff for scheduled outings $7.00 for their meal.
For dinner we provide staff for scheduled outings $10.00 for their meal.

If either of these are unscheduled then the QIDP must approve the expense and submit it to the book keeper.  Its not a guarantee staff will get reimbursed.  Specifically if there was an activity that did not involve food yet staff did it anyways.

If they go over their funds then they must pay the difference and we do not reimburse them.

We do not allow residents to pay for the staff members meals, as most of the people we serve have low cash funds.

Hope this helps,

Subject: Member Question

Happy New Year everyone! Please see a member question below. Any assistance is greatly appreciated.

When staff takes a client out to get food we are finding it difficult to determine when it is appropriate for the staff to use agency petty cash to help pay for their meal when they take individuals out. Do any other providers have a policy in place guiding the use of agency petty cash? Does this scenario make sense? I am finding it hard to put this in writing.
