We do it both ways...if the surveyors are close to our central office, they usually stop by and review files here.  If they are further away, we send the requested materials with our managers for the surveyors to review.  We never give them the whole personnel file...only the specific information requested. We send it in sealed envelopes and the managers are responsible for returning it to our cental office.
We do not keep any personnel information in our group homes or waiver settings as it is impossible to insure confidentiality.

Hello OPRA Program Directors and HR List,

How do you handle HR files for the reviews? Does your reveiwer come to your main office or do you have them available on site?

Does anyone know if there is any obligation that a reviewer would have to go to where the HR files are when it is the site they are reviewing?

Within the past year, we had a consultant explain that by no means should any HR files leave the office (basically unless in a locked briefcase handcuffed to our HR persons or Exec Dir.).

Would you please share what types of protocols you use for getting the HR files to the reviewer? Do you just send them with the manager of the home, as we would have back in the day?
